By accessing the Field Ledger website at field-ledger.com (the "Site"), signing up for our newsletter, downloading, or using the Field Ledger mobile application (the "App"), you agree to these Terms of Service. If you do not agree, do not use the Site or the App.
Geographic Scope: Field Ledger is intended for use within the United States and Canada. Users outside the US and Canada should not use this service.
Field Ledger provides:
Field Ledger is not a law firm and does not provide legal advice. Field Ledger is not a licensed contractor, engineer, or other licensed professional, and the App does not provide professional advice in any regulated trade. The App is a recordkeeping and administrative tool. See Sections 9, 10, 11, 12, and 15.
You agree not to:
App SMS (sent on your behalf): By entering a client's phone number and sending SMS notifications through the App, you confirm that you have the recipient's consent, you will honor opt-out requests (STOP replies) promptly, and you are solely responsible for compliance with the TCPA (Telephone Consumer Protection Act).
Marketing SMS (sent by Field Ledger to you): If you opt in to receive promotional text messages via our Site, you consent to receive marketing texts from Field Ledger. Consent is not a condition of purchase. Message frequency varies. Msg & data rates may apply. You may revoke consent at any time by replying STOP or contacting us.
Service Limits and Modifications. Field Ledger reserves the right to impose, modify, suspend, or eliminate usage limits on any feature of the Service, including but not limited to SMS messaging volumes, in our sole discretion and without prior notice. Current limits include but are not limited to: per-account daily caps on outbound SMS verification messages, per-account daily and monthly caps on outbound notification messages, and per-job daily caps on certain message types. These limits exist to prevent abuse, manage operational costs, and comply with carrier and telecommunications-provider policies. We do not guarantee a specific volume of SMS messages will be available to your account on any given day, and we may adjust limits as necessary to maintain Service quality.
Third-Party Carrier Conditions. SMS delivery depends on third-party carriers and telecommunications providers. We do not guarantee message delivery, timing, or receipt. Carriers may filter, delay, or reject messages for reasons outside our control. Message and data rates may apply to recipients per their carrier agreements.
You retain full ownership of all data you enter into Field Ledger (job records, client data, photos, etc.). We do not claim any rights to your data. For details on how we handle your information, see our Privacy Policy.
By using the App, you acknowledge and agree that Field Ledger may collect anonymized product usage data, error reports, and security-related signals (such as unusual login attempts or API abuse patterns) via our third-party Service Provider PostHog for the purposes of improving App stability, preventing fraud, and maintaining the security of the platform. This data is processed on our behalf under contractual data protection obligations and is never used for advertising, sold, or shared with unrelated third parties.
The App includes a voice dictation feature that uses your device's on-device speech recognition engine to transcribe your voice into text for job notes. Field Ledger does not record, store, or transmit audio. The microphone is active only while you hold the dictation button. You may disable this feature at any time by revoking the RECORD_AUDIO permission in your device settings.
The App declares the Android Advertising ID (AAID) permission solely to comply with Google Play Services requirements. Field Ledger does not use the AAID for advertising, profiling, or cross-app tracking.
Nature of AI Features. The App's AI features — including on-device "Field Intelligence" briefings (powered by a locally-run Qwen language model), the in-App search assistant, and cloud-based "Work Description" generation (powered by Anthropic Claude, model family: Haiku) — are provided as an educational and administrative assistant. They generate text-based summaries, suggested wording, and reference information to help you log jobs and prepare invoices more efficiently. They do not perform engineering analysis, structural assessment, code-compliance review, electrical or gas-system safety verification, legal analysis, or any other task that requires a licensed or credentialed professional.
"As-Is" AI Disclaimer. All AI-generated content — including briefings, summaries, work descriptions, suggested pricing, suggested part references, and verification text — is provided "AS IS" and "AS AVAILABLE" without warranty of any kind. AI language models can produce inaccurate, incomplete, fabricated, or misleading output (commonly referred to as "AI hallucinations"). Field Ledger expressly disclaims all liability for:
Professional Judgment Clause. The AI Briefing, AI-suggested work description, AI-suggested pricing, and any other AI output is a supplemental administrative tool. It does not replace the technician's professional judgment, onsite safety protocols, physical inspection of the job site, or the technician's obligation to comply with applicable building codes, electrical codes, plumbing codes, mechanical codes, gas codes, OSHA regulations, manufacturer instructions, and local licensing and permitting requirements.
Liability Allocation. The licensed technician, contractor, or business operating the App retains 100% of the liability for the safety, code-compliance, accuracy, and quality of any work performed. Final pricing decisions, part selection, part compatibility verification, safety verification, and execution of the work are the sole responsibility of the licensed professional. By using the AI features, you agree that AI output is informational only and that you will independently verify any technical, pricing, or safety information before relying on it for billing, ordering, or job execution.
Data Accuracy Responsibility. You are solely responsible for the accuracy, completeness, and lawfulness of the inputs you provide to the App, whether typed, dictated by voice, photographed, or otherwise entered. The AI features summarize, paraphrase, and reformat what you provide; garbage in produces garbage out. You are responsible for reviewing and correcting any AI-generated content before it is sent to a client, included on an invoice, attached to a Verification Report, or otherwise relied upon.
Data Flow Transparency. Field Intelligence briefings (Qwen) are processed entirely on your device — no prompts or outputs leave your phone for this feature. Work Description generation (Anthropic Claude) is processed via Anthropic's API; per our commercial agreement, your inputs and outputs are not used to train Anthropic's models. Full details are in our Privacy Policy, Sections 2.8, 2.9, and 6.
The App's "Verification Report" feature is a self-completed checklist tool that you fill out as part of a job record. A Verification Report may include technical readings you enter or measure (e.g., pressure, voltage, temperature, refrigerant levels), equipment nameplate photographs, customer signatures, technician signatures, and other inputs you choose to record. Field Ledger provides the checklist template (the form, the items, and the layout); you are the person who reviews each item, performs the underlying work or inspection, captures any readings or photographs, obtains any signatures, and decides whether to mark each item as complete. A Verification Report is a record of your own self-attestation and your own captured data. It is created by you, owned by you, and used by you for your own business and recordkeeping purposes.
Storage. Verification Reports and their associated data (readings, nameplate photographs, signatures, notes) become part of your job record and are stored in our standard encrypted backend (Supabase, AWS-hosted) under the same encryption and access controls as the rest of your job data. See our Privacy Policy, Section 5.
Not a Legally Binding Document. A Verification Report is not a legally binding document, a sworn affidavit, a notarized statement, an inspection certificate, a permit sign-off, or a code-compliance attestation. Field Ledger does not validate, witness, certify, notarize, attest to, or warrant the accuracy of any item you check off, any reading you record, any photograph you attach, or any signature you collect. Whether a Verification Report has any legal weight in a dispute, an insurance claim, a regulatory proceeding, or a court of law depends entirely on the facts of your situation and applicable law — Field Ledger makes no representation that it does.
User Responsibility for Accuracy. You are solely responsible for the truth, completeness, and accuracy of every item you mark as complete, every reading you enter, every photograph you attach, and every signature you collect in a Verification Report. Marking an item as complete or recording a reading when the underlying work, inspection, or measurement has not actually been performed or verified may constitute fraud, breach of contract, breach of professional duty, or a violation of licensing regulations in your jurisdiction. Field Ledger has no way of knowing whether your inputs reflect reality and bears no responsibility for any such misrepresentation.
Not Legal Practice. Field Ledger is not a law firm, is not licensed to practice law in California or any other jurisdiction, and does not provide legal services or legal advice. Providing a checklist template is not the practice of law, the provision of legal advice, the preparation of legal documents on your behalf, or any form of legal certification. If you need legal advice about disputes with clients, contract enforcement, lien filings, evidentiary requirements, or any other legal matter, you should consult a licensed attorney in your jurisdiction.
The App allows you to upload your own legal or business documents — including work orders, service agreements, terms and conditions, scopes of work, and similar materials — for storage in your account, attachment to invoices or job records, and delivery to your clients via the App's standard delivery mechanisms (e.g., shared link, PDF attachment, in-App view). This Section 11 governs that feature.
Storage and Versioning. Uploaded documents are stored at rest in Supabase Storage (AWS-hosted, encrypted at rest and in transit) under your account. When you upload a new version of an existing document, prior versions are preserved as an audit trail, allowing you to view which version of a document was active when a particular job was performed. You can view, download, and delete versions through the App's document management interface.
Your Content, Your Legal Document. Any document you upload remains your own legal content. You are the author and the legal owner of that document. Field Ledger does not draft, prepare, review, edit, modify, customize, advise on, validate, or warrant any uploaded document. We act solely as a hosting and delivery platform — a conduit between you and your client. Hosting and delivering a document you authored does not create an attorney-client relationship between you and Field Ledger, does not constitute the practice of law by Field Ledger, and does not make Field Ledger a party to your contract with your client.
No Warranty as to Legal Sufficiency, Enforceability, or State-Specific Compliance. Field Ledger makes no representation or warranty that any document you upload is legally valid, enforceable, accurate, complete, fit for any particular purpose, or compliant with the laws of any jurisdiction. You are solely responsible for ensuring that your uploaded documents meet the legal requirements of every state, county, and municipality in which you do business, including but not limited to state-specific home-improvement contract laws (e.g., California Business & Professions Code §§ 7150–7168 for California-licensed contractors), required consumer-disclosure language, mandatory notice provisions, three-day right-to-cancel notices, mechanic's lien notices, attorney-fee clauses, arbitration clauses, and any other provisions or formatting required by applicable law. State-specific requirements vary widely, change over time, and may differ by trade. The legal effect of your uploaded document, your client's acceptance or rejection of it, and any dispute arising from it are matters between you and your client. We strongly recommend that documents you intend to use as binding contracts be drafted or reviewed by a licensed attorney in your jurisdiction.
Your Representations and Warranties. By uploading a document to the App, you represent and warrant that: (a) you own the document or have all necessary rights, licenses, and permissions to upload it, store it on Field Ledger's infrastructure, and deliver it to your clients through the App; (b) the document does not infringe any third party's copyright, trademark, trade secret, or other intellectual property rights; (c) the document does not contain unlawful, defamatory, harassing, fraudulent, or otherwise prohibited content; (d) the document does not contain a third party's personal information collected without that party's consent; and (e) you will comply with all applicable laws when using the document with your clients, including consumer protection laws, e-signature laws, and disclosure requirements.
License to Host and Deliver. You grant Field Ledger a limited, non-exclusive, royalty-free license to store, transmit, copy (for backup, version-history, and delivery purposes only), and deliver your uploaded document solely to operate the App's storage and delivery features on your behalf. We do not claim ownership of your uploaded documents, do not use them for any other purpose, and do not share them with third parties except as required to deliver them per your instructions or as required by law.
Removal Rights. Field Ledger reserves the right (but has no obligation) to remove any uploaded document that we reasonably believe violates these Terms, infringes third-party rights, or violates applicable law. We will use reasonable efforts to notify you before removal where practicable, except in emergencies or where prohibited by law. You may delete your own uploaded documents at any time through the App.
Account Deletion Purges All Uploads. If you delete your Field Ledger account, all of your uploaded documents — including all preserved version history — will be purged from Supabase Storage as part of the account-deletion process, subject to the deletion timeline described in our Privacy Policy, Section 10. Once purged, uploaded documents and their version history cannot be recovered. You are responsible for downloading and retaining your own copies of any uploaded documents you may need for tax, audit, regulatory, or litigation-hold purposes before requesting account deletion.
Your Responsibility for Delivery. When you choose to deliver an uploaded document to a client through the App, you are responsible for ensuring you have the client's consent to receive it electronically (where required by applicable e-signature law, such as the federal E-SIGN Act and California UETA), for retaining your own copies as required by your recordkeeping obligations, and for any disputes arising from the document's contents or delivery.
The App includes an in-app signature pad that captures customer signatures and technician signatures for each job. Signatures are stored as part of the job record under the same encryption and access controls as the rest of your job data.
Signature Reuse Across Related Documents. When you generate an invoice, a Verification Report, and an attached service agreement in sequence for the same job, a single customer signature collected via the in-app signature pad may be applied to all of those related documents. The same is true for technician signatures. This means that one signing event can result in the customer or technician being recorded as having signed multiple documents tied to that job.
User Obligation to Disclose to Signers. If you use the signature reuse feature, you are responsible for clearly and conspicuously informing the signer, before they sign, that their signature will be applied to all related documents you generate for that job (for example: the invoice, the Verification Report, and any service agreement attached to the job). The signer must understand at the time of signing what they are agreeing to. This disclosure obligation applies to both customer signatures and technician signatures.
Compliance with Electronic Signature Laws. Electronic signatures are governed by the federal Electronic Signatures in Global and National Commerce Act ("E-SIGN Act," 15 U.S.C. §§ 7001 et seq.), the California Uniform Electronic Transactions Act ("CA UETA," Cal. Civ. Code §§ 1633.1–1633.17), and the corresponding statutes of other states. These laws generally require that the signer (i) consent to using an electronic signature, (ii) understand what they are signing, and (iii) be able to retain a copy of the signed record. Some transactions, in some states, also require specific advance disclosures or formatting. You are solely responsible for compliance with all applicable electronic-signature laws, including obtaining proper consent, providing required disclosures (including disclosure of signature reuse), retaining copies for the signer, and any other procedural requirements.
No Warranty as to Enforceability of Signatures. Field Ledger does not warrant that any signature collected through the App is legally enforceable as an electronic signature in any jurisdiction or with respect to any particular document. The legal effect of an electronic signature depends on the facts of the transaction, the document being signed, the disclosures provided to the signer, and applicable law. If a signed document's enforceability is critical to your business, consult a licensed attorney.
Liability. Field Ledger bears no liability for disputes arising from signature reuse, including but not limited to a signer's claim that they did not understand their signature would apply to multiple documents, were not properly informed of signature reuse before signing, or did not consent to electronically sign one or more of the related documents. Such disputes are between you and the signer.
PDF documents generated through the App — including invoices, estimates, Verification Reports, job reports, monthly reports, and expense reports — are produced client-side on your device. When you share a generated PDF, the App uses your device's native operating-system share sheet (e.g., Android's system share dialog) to deliver the file to the destination you choose (email app, messaging app, file storage, etc.). Field Ledger does not transmit these generated PDFs through our servers when you share them. The data used to generate the PDF (your job record, line items, etc.) is already stored in our standard encrypted backend; the rendered PDF itself is created on-device and shared on-device.
Once you share a PDF through your device's native share sheet, the privacy and security of the file are governed by the destination application or service you select (e.g., your email provider, messaging app, cloud storage), not by Field Ledger.
The Field Ledger name, logo, Site design, App interface, Verification Report templates, and all associated content are the property of Field Ledger. You may not copy, modify, distribute, or create derivative works from any of our intellectual property without written permission. This Section 14 does not affect your ownership of content you upload (see Section 11) or your job and business data (see Section 7).
Field Ledger Pro is a recurring monthly subscription that automatically renews until you cancel. The following terms govern your subscription and are provided to comply with California's Automatic Renewal Law (Cal. Bus. & Prof. Code §17600 et seq., as amended by SB-313).
After cancellation, Pro access continues through the current paid period. No further charges.
A free trial auto-converts to a paid monthly subscription at the end of the trial period unless cancelled. We send a reminder email at least three (3) days before trial end.
By starting a free trial or paid subscription, you acknowledge: (a) you've read these subscription terms; (b) your subscription will auto-renew until you cancel; (c) you authorize charges for each renewal at the then-current price; (d) you understand how to cancel.
The Site, the App, and all features (including AI features, Verification Report checklists, the document upload and delivery feature, the in-app signature pad and signature reuse feature, and client-side PDF generation) are provided "AS IS" and "AS AVAILABLE" without warranties of any kind, either express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, accuracy, non-infringement, and quiet enjoyment. We do not guarantee uninterrupted, error-free, or secure operation. We do not warrant that AI-generated output is accurate, complete, current, safe, code-compliant, or fit for any particular use. We do not warrant that any user-uploaded document is legally valid, enforceable, or fit for any particular purpose. We do not warrant that any electronic signature collected through the App is legally enforceable in any jurisdiction. Use of the Site, App, AI features, Verification Report, document upload, signature, and PDF features is at your own risk. See also Sections 9, 10, 11, 12, and 13.
To the maximum extent permitted by California law, Field Ledger and its officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Site, the App, the AI features, the Verification Report feature, the document upload and delivery feature, the signature pad and signature reuse feature, or the client-side PDF generation feature, regardless of the cause of action or the theory of liability. This includes, without limitation, damages arising from AI-generated inaccuracies, AI hallucinations, code-compliance failures, safety incidents, inaccurate or fraudulent Verification Report attestations, unenforceable user-uploaded documents, signature-reuse disputes, electronic-signature enforceability challenges, client disputes, lost profits, lost data, or business interruption. The licensed technician or business operating the App retains all liability for the safety, accuracy, and code-compliance of the work performed (see Section 9), the truthfulness of Verification Report attestations (see Section 10), the legal sufficiency of any uploaded documents (see Section 11), and proper disclosure to and consent from signers (see Section 12).
You agree to indemnify and hold harmless Field Ledger from any claims, damages, or expenses (including reasonable attorney's fees) arising from your use of the Site or App, your reliance on AI-generated content, the work you perform in connection with jobs logged in the App, the truthfulness or completeness of any Verification Report you complete, the contents or use of any document you upload to the App (including third-party intellectual property infringement claims), your collection or reuse of customer or technician signatures (including any failure to disclose signature reuse to the signer), your violation of these Terms, or your violation of any third-party rights.
We reserve the right to suspend or terminate accounts or access to the Site that violate these Terms, at our sole discretion and without prior notice.
These Terms are governed by the laws of the State of California, without regard to its conflict of law provisions. Except as otherwise required by Section 24 (Mandatory Arbitration and Class Action Waiver), any disputes arising from these Terms shall be resolved in the state or federal courts located in California.
If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
We may update these Terms at any time. Material changes will be communicated via email or a notice on the Site. Continued use of the Site or App after changes are posted constitutes acceptance of the new Terms.
Material changes to Section 24 (Mandatory Arbitration and Class Action Waiver) will require affirmative re-acceptance from existing users before they take effect.
The following terms apply if you downloaded or accessed Field Ledger from the Apple App Store. In the event of any conflict between these terms and the remainder of this Agreement, these terms control with respect to Apple App Store distribution.
This Agreement is between you and Field Ledger, and not with Apple Inc. Apple is not responsible for the App or its content. Your use of the App must comply with the Apple Media Services Terms and Conditions.
The license granted to you for the App is limited to a non-transferable license to use the App on any Apple-branded products that you own or control, as permitted by the Usage Rules set forth in the Apple Media Services Terms and Conditions, except that the App may be accessed and used by other accounts associated with you via Family Sharing or volume purchasing.
Field Ledger is solely responsible for providing any maintenance and support services with respect to the App. Apple has no obligation whatsoever to furnish any maintenance and support services with respect to the App.
Field Ledger is solely responsible for any product warranties, whether express or implied by law, to the extent not effectively disclaimed. In the event of any failure of the App to conform to any applicable warranty, you may notify Apple, and Apple will refund the purchase price (if any) for the App to you; to the maximum extent permitted by applicable law, Apple will have no other warranty obligation whatsoever with respect to the App.
Field Ledger, not Apple, is responsible for addressing any claims by you or any third party relating to the App or your possession and/or use of the App, including (i) product liability claims; (ii) any claim that the App fails to conform to any applicable legal or regulatory requirement; and (iii) claims arising under consumer protection, privacy, or similar legislation.
In the event of any third-party claim that the App or your possession and use of the App infringes that third party's intellectual property rights, Field Ledger, not Apple, will be solely responsible for the investigation, defense, settlement, and discharge of any such infringement claim.
You represent and warrant that: (i) you are not located in a country that is subject to a U.S. Government embargo, or that has been designated by the U.S. Government as a "terrorist supporting" country; and (ii) you are not listed on any U.S. Government list of prohibited or restricted parties.

You must comply with any applicable third-party terms of agreement when using the App.
You acknowledge and agree that Apple, and Apple's subsidiaries, are third-party beneficiaries of this Agreement, and that, upon your acceptance of the terms and conditions of this Agreement, Apple will have the right (and will be deemed to have accepted the right) to enforce this Agreement against you as a third-party beneficiary thereof.
PLEASE READ THIS SECTION CAREFULLY. IT REQUIRES YOU TO RESOLVE DISPUTES WITH FIELD LEDGER BY BINDING ARBITRATION AND LIMITS THE MANNER IN WHICH YOU CAN SEEK RELIEF.
You and Field Ledger agree that any dispute, claim, or controversy arising out of or relating to (a) these Terms, (b) any breach, enforcement, or termination of these Terms, (c) the App, the Site, or the Services, or (d) the relationship between you and Field Ledger, will be resolved by binding individual arbitration, except as set forth in Section 24.2.
The following disputes are NOT subject to arbitration: (a) any claim that may be brought in small claims court if it qualifies under that court's rules; (b) any claim for injunctive or equitable relief to stop unauthorized use or abuse of the App, Site, or Services, or to enforce intellectual property rights; (c) any claim regarding the validity, enforceability, or scope of this arbitration provision itself.
Arbitration will be administered by JAMS pursuant to its Streamlined Arbitration Rules and Procedures (jamsadr.com). The arbitration will be conducted by a single arbitrator. The arbitration may be conducted in person, through written submissions, or by telephone, at your election. The arbitration will be held in Los Angeles County, California, or any other location mutually agreed upon. The arbitrator's decision will be final and binding.
YOU AND FIELD LEDGER AGREE THAT EACH MAY BRING CLAIMS AGAINST THE OTHER ONLY IN AN INDIVIDUAL CAPACITY, AND NOT AS A PLAINTIFF OR CLASS MEMBER IN ANY PURPORTED CLASS, COLLECTIVE, OR REPRESENTATIVE PROCEEDING. The arbitrator may not consolidate the claims of more than one person or party, and may not preside over any form of representative or class proceeding.
If the class action waiver in this Section 24.4 is found to be unenforceable as to any claim, that claim must be brought in court rather than in arbitration, and the entirety of this Section 24 will be void as to that specific claim only.
You have the right to opt out of this arbitration agreement. To opt out, send a written notice to hello@field-ledger.com within thirty (30) days of your first acceptance of these Terms. Include your full name, the email associated with your account, and a clear statement that you are opting out of arbitration.
This Section 24 will survive any termination of your account or these Terms.
Field Ledger complies with the Digital Millennium Copyright Act (17 U.S.C. § 512). If you believe that any content hosted on or transmitted through the App or Site infringes your copyright, you may submit a notice of claimed infringement to our designated agent.
